What this covers. This website, and the emails, calls and meetings that follow from it. It does not cover content a client organisation puts into the Symmathic platform, which our agreement with that organisation governs.

What we collect. If you email us, we keep your name, email address, organisation and what you write; our email, calendar and documents are hosted by Google Workspace. If you open the booking calendar on our contact page, Calendly collects the name, email address, time zone and any notes you give it, and the page says so before it loads. This site is served through Cloudflare, which processes your IP address, browser details and the pages you request so that pages load and abuse is blocked, and sets strictly necessary security cookies (__cf_bm and cf_clearance). We do not run analytics or tracking on this site.

Why, and on what basis. To answer your enquiry, arrange meetings, run and secure this site, and meet our legal, tax and accounting obligations. Where UK data protection law applies, we rely on our legitimate interests in doing those things, and on legal obligations where a record must be kept. We do not sell personal information and we do not trade it.

Where our providers are. Cloudflare, Google and Calendly act for us under their standard terms and are United States companies with global networks, so your information is likely to be handled outside Australia and the United Kingdom. We remain accountable for it.

How long we keep it. As long as we need it for the purpose we collected it for, and then we delete it. Records tax and company law require are kept for seven years.

Your rights. Email privacy@symmathic.com to ask what we hold about you, or to have it corrected or deleted. We will verify your identity and reply within 30 days. There is no charge.

Complaints. If you think we have mishandled your personal information, email us first: we will look into it and reply in writing within 30 days. If you are not satisfied, you can complain to the Office of the Australian Information Commissioner (oaic.gov.au) or, if you are in the United Kingdom, to the Information Commissioner's Office (ico.org.uk).

Changes. When we change this notice, we change the date at the top.
